IN A NUTSHELL – BOOKING WITH LARGE OUTDOORS

We’ve kept things straightforward so you can book with confidence.

  • Your booking is confirmed once payment has been made.

  • For most multi-day experiences, a deposit is available when booking more than 12 weeks before your trip, with the remaining balance due 10 weeks before departure. If you book within 12 weeks, full payment is required at the time of booking.

  • You can move your booking to another trip up to 10 weeks before departure, subject to availability. This applies to Multi-Day Experiences only. Day Experiences and Advance Saver bookings cannot be moved. Each booking can only be moved once and must be moved to a specific trip.

  • If you cancel your booking, charges apply depending on how close it is to your trip. Within 10 weeks, bookings are non-refundable.

  • Some ticket types, including Advance Saver places, are offered at a lower price and come with stricter terms. These are non-refundable, cannot be moved to another date or experience, and cannot be transferred to another participant.

  • If we need to cancel your trip for operational reasons, you will be offered a move, credit, or refund. If cancellation is due to weather or safety, you will be offered a move or credit.

  • You must complete all required documentation before your trip. Failure to do so will result in refusal to participate, with no refund.

INTRODUCTION & DEFINITIONS

We accept bookings subject to agreement with the Terms & Conditions outlined below.

By making a booking with Large Outdoors, you confirm that you have read, understood, and accepted these Terms & Conditions on behalf of yourself and all participants included within your booking.

IN THESE TERMS & CONDITIONS, REFERENCES TO:

“Large Outdoors”, “we”, “us”, and “our” refer to Large Outdoors Limited (company no. 06959017), whose registered office is at 17 Cherry Farm Close, Malton YO17 6AS.

“you”, “your”, “Primary Booker”, and “Third Party Payer” refer to the person, company, charity, organisation, or group making and financially responsible for a booking, including any person to whom a booking is transferred.

a “booking” or “order” (including “Day Experience”, “Multi-Day Experience”, “Hire a Guide service” or “Tailored Trip service”) refers to the service, event or trip - and the itinerary and activities offered therein - sold by or provided by Large Outdoors.

“booking form” refers to the document provided to you in writing from Large Outdoors for bookings not made online via our website or via a third party website.

“booking start date” refers to the date that the service, event or trip - and the itinerary and activities offered therein - starts.

“in writing” refers to email correspondence sent to/from hello@largeoutdoors.com.

“Day Experience” refers to a booking that takes place within one 24 hour period.

“Multi-Day Experience” refers to a booking that takes place across a period greater than 24 hours.

“participant(s)” refers to all persons named on or taking part in the booking (including anyone who is added or transferred in at a later date).

“Force Majeure” refers to any extreme or unforeseeable event beyond our or our suppliers’ control.

Nothing in these Terms & Conditions limits liability for death or personal injury caused by our negligence, or for any other liability which cannot be excluded by law.

No employee or staff member of Large Outdoors has the authority to omit, amend, or override any of these Terms & Conditions unless confirmed in writing by Large Outdoors.


1. BOOKING & PAYMENT

Your booking is confirmed once payment has been received.

Deposit Payments

The option to pay a deposit is available for most multi-day experiences when booking more than 12 weeks before the trip start date.

  • The deposit is typically 20% of the total booking cost

  • The remaining balance is due 10 weeks before the trip start date

If your booking is made within 12 weeks of the trip start date, full payment is required at the time of booking.

Bookings made within 12 weeks of departure are not eligible for deposit payments.

Deposits are non-refundable, except in cases where a trip is cancelled or significantly changed by Large Outdoors.

Some bookings, including Day Experiences and selected ticket types (including Advance Saver), require full payment at the time of booking.

If the balance is not paid by the due date, we reserve the right to cancel your booking without further notice and retain any payments made.


2. PRICING, DISCOUNTS & TICKET TYPES

Prices are confirmed at the time of booking.

We may offer promotional pricing, early booking discounts, or limited ticket types. These are only valid at the time of booking and cannot be applied retrospectively.

Promotional codes may be offered via specific channels (including email or WhatsApp) and must be applied correctly at the time of booking. Discounts cannot be added, amended, or applied after a booking has been completed.

If a booking is moved to another experience or date, any promotional pricing or discount used on the original booking will not carry over. The new booking will be priced at the current advertised rate at the time the move is made.

Any discount or refund is only valid if confirmed in writing by Large Outdoors.

Booking descriptions and prices on our website supersede any details published in printed or digital marketing materials.

Advance Saver

Advance Saver places are offered at a reduced price and are limited in number.

Full payment is required at the time of booking.

Advance Saver bookings are non-refundable, cannot be moved to another date or experience, and cannot be transferred to another participant.

Standard cancellation, move, and transfer policies do not apply to Advance Saver bookings.


3. CANCELLATION BY YOU

All cancellations must be submitted via the official Cancellation/Move Form and are date/time stamped.

Different ticket types have different cancellation terms as outlined below.

Multi-Day Experiences (Standard Bookings)

If you cancel your booking more than 10 weeks before the booking start date, the deposit will be retained.

If you have paid more than the deposit amount, the deposit will be retained and any remaining balance paid will be refunded to the original payment method.

If you wish to retain the full value of your booking, you may request to move your booking in line with Section 4.

If you cancel your booking 10 weeks or less before the booking start date, 100% of the booking cost is payable and no refund or credit will be issued.

Advance Saver Bookings

Advance Saver bookings are non-refundable.

No refunds will be issued under any circumstances. These bookings cannot be moved or transferred.

Day Experiences

Day Experiences are non-refundable.

If you are unable to attend, you may transfer your place to another participant up to 7 days before the event, in line with Section 5.

General Conditions (All Bookings)

No refunds will be provided where a participant:

  • fails to attend

  • arrives late

  • leaves early

  • chooses not to take part

  • is unable to participate due to fitness, equipment, medical, or personal reasons

Cancellation charges apply regardless of the reason for cancellation, including illness, injury, travel disruption, or personal circumstances.

We strongly recommend that all participants have suitable insurance in place to cover cancellation and any associated costs.


4. MOVING YOUR BOOKING (CHANGE OF DATE OR EXPERIENCE)

This section applies to Multi-Day Experiences only. Day Experiences are not eligible to be moved.

You may request to move your booking to another Large Outdoors experience up to 10 weeks before your original booking start date.

Move requests must be submitted via the official Cancellation/Move Form and must include a specific alternative experience at the time of submission. We do not offer open credit or hold funds without a confirmed replacement booking.

Moves are subject to availability and must be confirmed before the 10-week deadline. Requests submitted after this deadline will not be accepted.

Each booking may only be moved once.

If the new experience is more expensive, the difference must be paid at the time of confirming the move. If the new experience is cheaper, no refund or credit will be given.

If a booking was made using a promotional price, discount code, or special offer, this will not carry over to the new booking. The new booking will be charged at the current advertised price at the time the move is confirmed.

Once a booking has been moved, all cancellation terms remain based on the original booking start date, not the new date.

Advance Saver bookings and any restricted ticket types are not eligible to be moved.


5. TRANSFERS (CHANGE OF PARTICIPANT)

You may transfer your place to another person up to 7 days before your booking start date.

Transfers must be on a like-for-like basis (for example, a Shared Female place must be transferred to another female participant where applicable).

You must provide full details of the replacement participant, including name, email address, contact number, and any relevant booking information. The replacement participant must meet all requirements of the booking.

Transfers apply to changing the participant only. They do not allow changes to the booking date, experience, or ticket type.

The Primary Booker remains responsible for the booking following any transfer.

All communication, payments, refunds, or credits will be issued to the Primary Booker only. It is the responsibility of the Primary Booker to settle any arrangements directly with the replacement participant.

If a transferred participant cancels, withdraws, or fails to attend, the booking remains subject to the original Terms & Conditions and will be treated as a cancellation of the original booking.

Transfers do not reset or extend any cancellation deadlines.

Advance Saver bookings and any restricted ticket types cannot be transferred to another participant.


6. DAY EXPERIENCES

Day Experiences require full payment at the time of booking.

These bookings are non-refundable and cannot be moved to another date or experience.

Day Experience bookings cannot be transferred to another participant within 7 days of the event.

Participant transfers are permitted up to 7 days before the event, in line with Section 5.


7. PRIMARY BOOKER RESPONSIBILITY

The Primary Booker is responsible for the booking and all participants included within it.

All communication relating to the booking will be sent to the Primary Booker only. The Primary Booker is responsible for sharing all relevant information with participants.

The Primary Booker must ensure that all participants complete required documentation, including the Acknowledgement of Risk form.

We will only deal with the Primary Booker in relation to any changes, cancellations, transfers, queries, or financial matters.

Any refunds, credits, or payments will be issued to the Primary Booker only.

All participants named on the booking are deemed to have accepted these Terms & Conditions.

We are not responsible for any failure by the Primary Booker to pass on relevant information to other participants.

Failure by participants to complete required documentation may result in refusal to participate, with no refund.


8. ACKNOWLEDGEMENT OF RISK, FITNESS & EQUIPMENT

All participants are required to complete an Acknowledgement of Risk form prior to taking part in any activity. This is provided via a link in your confirmation email and must be completed in advance of the trip.

Failure to complete required documentation will result in refusal to participate, with no refund.

Participants are responsible for ensuring that they are fit, healthy, and suitably prepared for the activity they have booked.

If, in the opinion of the Large Outdoors host or guide, a participant’s fitness, health, behaviour, or equipment is not suitable and may compromise safety, we reserve the right to refuse or terminate participation.

This includes situations where a participant has been injured, unwell, or unable to continue safely during the experience.

In such cases, no refund or compensation will be provided.

We provide guidance on expected fitness levels and recommended equipment via our website and pre-trip information. Participants are responsible for ensuring they are adequately prepared.

If you are unsure about your suitability for a trip, you should contact us in advance of booking.


9. DISABILITIES, MEDICAL REQUIREMENTS & ADDITIONAL NEEDS

Our experiences are open to participants of all backgrounds, and we will do our best to advise on suitability based on individual abilities and requirements.

If a participant has any disability, medical condition, or additional support requirement (including the need for a carer or assistance animal), this must be disclosed to us before booking or as soon as possible thereafter.

This is important as such factors may affect the suitability of the experience or have health and safety implications.

All information provided will be treated confidentially in line with our Privacy Policy.

Where a participant requires specific support (medical, personal, or otherwise), we may require them to be accompanied by a suitable companion. Any additional costs associated with this are the responsibility of the participant.

If we believe that we are unable to safely or reasonably accommodate a participant’s requirements, we reserve the right to decline or cancel the booking.

If relevant information is not disclosed prior to booking, and this affects the safe operation of the experience, we reserve the right to cancel the booking or refuse participation.

In such cases, no refund or compensation will be provided.

Large Outdoors is not responsible for any consequences, costs, or losses arising from a failure to disclose relevant information.


10. AGE RESTRICTIONS

Participants must be aged 18 or over at the time of the booking, unless part of a private or tailored group booking agreed in advance with Large Outdoors.

We reserve the right to request proof of age where necessary.


11. ACCOMMODATION

Where accommodation is included as part of a booking, it is provided in accordance with the accommodation provider’s rules and policies.

Room types are allocated based on the booking made (e.g. Shared Male, Shared Female, or Single Room). We will allocate rooms in line with these selections.

Where shared accommodation is booked, participants should expect to share with others as outlined in the room type selected.

While we aim to accommodate reasonable preferences where possible, this cannot be guaranteed.

Room configurations and groupings may vary depending on the accommodation and group size.


12. PARTICIPANT RESPONSIBILITY & CONDUCT

Large Outdoors aims to provide a welcoming, inclusive, and respectful environment for all participants, staff, and suppliers.

We do not tolerate behaviour or comments that are discriminatory, abusive, or inappropriate, including (but not limited to) racism, sexism, homophobia, transphobia, ableism, or harassment of any kind.

All participants are expected to behave in a considerate and respectful manner towards others, including fellow participants, staff, suppliers, and members of the public.

If, in our reasonable opinion, a participant’s behaviour is deemed to be inappropriate, disruptive, unsafe, or likely to cause distress, damage, or risk to others, we reserve the right to terminate their participation without prior notice.

In such circumstances:

  • The participant will be required to leave the experience, including any accommodation

  • No refund or compensation will be provided

  • Large Outdoors will have no further responsibility for the participant, including any onward travel arrangements

  • Any costs incurred as a result will be the responsibility of the participant

Where the booking was made on behalf of others, the Primary Booker will not be entitled to any refund or compensation in respect of the affected participant(s).


13. CANCELLATION OR AMENDMENT BY LARGE OUTDOORS

We reserve the right to cancel a booking or make changes where necessary due to operational reasons, including (but not limited to) insufficient participant numbers or supplier issues.

If we cancel your booking for these reasons, or make a significant change which you do not accept, you will be offered the choice of:

  • Moving your booking to the same experience on a subsequent date; or

  • Receiving a Credit Voucher equal to the value paid; or

  • Receiving a refund

Credit Vouchers will be issued based on the amount paid for the original booking and are not linked to any promotional pricing or discounts applied at the time of booking.

Large Outdoors is not responsible for any additional costs incurred outside of the booking, including (but not limited to) travel arrangements such as train tickets, flights, accommodation, or other associated expenses.

Participants are responsible for arranging suitable insurance to cover their booking and any associated travel arrangements.


14. SNOW & EXTREME WEATHER POLICY

Outdoor activities are dependent on safe conditions. Large Outdoors reserves the right to cancel a booking where weather conditions make it unsafe or impractical to operate.

This may include (but is not limited to):

  • snow and ice

  • high or gale-force winds

  • flooding

  • lightning

  • official weather warnings

Where possible, we will always aim to continue with the experience, making adjustments to routes or activities to suit the conditions.

However, if we determine that it is not safe to proceed and the booking must be cancelled:

  • You will be offered the option to move your booking to the same experience on a future date; or

  • Receive a Credit Voucher equal to the amount you have paid

Refunds are not provided in cases where a booking is cancelled due to snow or extreme weather.


15. LIABILITY & INSURANCE

Large Outdoors is not responsible for loss of or damage to personal property or equipment, or for any consequential losses or claims arising from a participant’s involvement in a booking.

Participants are responsible for arranging suitable insurance to cover their booking and any associated travel arrangements. This should include, as a minimum:

  • cancellation and curtailment

  • medical and emergency expenses (including repatriation)

  • personal accident, injury, and death

  • loss or damage to personal belongings

  • travel to and from the meeting or departure point

Participants are responsible for ensuring that their insurance policy is suitable for the activities undertaken.

Large Outdoors does not accept liability for death or personal injury unless caused by our negligence.

In the event of an emergency, including medical rescue or repatriation, all associated costs are the responsibility of the participant.

Participants are responsible for any loss or damage caused to accommodation, property, or equipment provided as part of the booking, where this results from negligence or misuse.

We are not responsible for your actions or safety during any independent travel undertaken before, during, or after your booking. This includes leaving an experience early or using transport not arranged by Large Outdoors.

If your booking is cancelled, interrupted, or curtailed due to force majeure events or circumstances, Large Outdoors shall not be liable for any losses incurred.


16. ACCURACY OF INFORMATION & PRICING

We make every effort to ensure that the information and prices shown on our website and in our marketing materials are accurate. However, errors may occasionally occur or details may change.

We reserve the right to correct any errors in pricing or information at any time. Please ensure you check all details at the time of booking and notify us as soon as possible if any information provided to you appears incorrect or incomplete.

We will not be liable for any inaccuracies unless notified within a reasonable time of receiving your booking confirmation. We will always aim to resolve any issues fairly and promptly.

Booking descriptions and prices shown on our website take precedence over any information published in printed or third-party materials.

Any discount, offer, or refund is only valid if confirmed in writing by Large Outdoors.

Information provided regarding weather conditions, climate, clothing, baggage, or equipment is given in good faith for guidance only, and we do not accept responsibility for its accuracy.


17. COMPLAINTS

We aim to ensure that all experiences run smoothly and meet expectations. If you have a concern or complaint, it is important that you inform us as soon as possible.

If an issue arises before your booking start date, please contact us by telephone or in writing at hello@largeoutdoors.com.

If an issue arises during your experience, you must inform your Large Outdoors host or guide at the time so that we have the opportunity to investigate and resolve the matter during the trip.

If your complaint is not resolved during the experience, you should contact us in writing within 28 days of the end of your booking, providing full details of the issue.

We will acknowledge and respond to your complaint within a reasonable timeframe.

Failure to follow this procedure may affect our ability to investigate and resolve your complaint.

We cannot accept responsibility for complaints that are not raised during the experience or within the timeframe outlined above, as this prevents us from investigating and resolving the matter appropriately.


18. PRIVACY & DATA USE

In order to process your booking and deliver your experience safely and effectively, we may share relevant information with third-party suppliers involved in your booking. This may include (but is not limited to) accommodation providers, guides, transport providers, and catering suppliers.

Information shared may include your name, contact details, dietary requirements, and any relevant support needs.

We will only share information where necessary to deliver your booking. Medical information will not be shared unless required in an emergency or where essential for safety.

You are responsible for ensuring that any critical medical or dietary information is also communicated directly to relevant providers where appropriate.

All personal data is handled in accordance with our Privacy Policy.


19. ACCOUNT SECURITY

If you create an account on our website, you are responsible for maintaining the confidentiality of your login details.

You must not share your account credentials with others. Any activity carried out under your account is your responsibility.


20. PRIVACY POLICY

21. MEDIA CONSENT

Participants may be photographed or filmed during Large Outdoors experiences.

This media may include images, video, or testimonials in which participants are recognisable, and may be used for promotional and marketing purposes connected with Large Outdoors.

This includes (but is not limited to):

  • our website

  • social media platforms

  • third-party websites featuring our experiences

  • printed and digital marketing materials

By taking part in a booking, you consent to the use of such media for these purposes.

If you do not wish to be included in any photography or media, please inform your host at the start of the experience.

Large Outdoors retains all rights to any media captured, including any associated promotional use.

22. GOVERNING LAW

These Terms & Conditions and any disputes arising from them are governed by the laws of England and Wales.

Both parties agree that the courts of England and Wales shall have exclusive jurisdiction.
