Definitions

For the purposes of this Privacy Policy:

You", “Your” - means the individual accessing or using Large Outdoors’ services, or the company, or other legal entity on behalf of which such individual is accessing or using the services, as applicable.
Under GDPR (General Data Protection Regulation), you can be referred to as the Data Subject or as the User, as you are the individual using the services.

Large Outdoors”, “Us”, “We”, “Our” - means Large Outdoors Limited.
Under GDPR, Large Outdoors is the Data Controller.

Account” - means a unique online account created for you to access our services or parts of our services.

Services” - means any service, supply, experience, event or trip - and the itinerary and activities offered therein - sold by or provided by Large Outdoors.

Service Providers” - means any natural or legal person who processes your personal information on behalf of Large Outdoors. This could include: employed staff; hired workers or contractors; third-party companies or individuals contracted to facilitate and/or perform Large Outdoors’ services or services offered in partnership with Large Outdoors, or to assist in analysing how the services are used.
Under GDPR, Large Outdoors’ Service Providers are considered Data Processors.

The type of personal information we collect 

We currently collect and process personal information - personal identifiers, contacts and/or characteristics, which may include the following information:

  • name, title, gender and date of birth;

  • postal address, email address and phone number;

  • current interests and activities;

  • contact preferences;

  • online identifiers (e.g. IP addresses, social media profiles and cookies); 

  • medical conditions/injuries/allergies;

  • dietary requirements/allergies;

  • photographs, video or digital media containing imagery of recognisable individuals.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • enquiring about our services;

  • making a booking for our services (including booking registration and/or attendance);

We also receive personal information indirectly, from the following sources in the following scenarios:

  • provided to us from the Primary Booker for a booking relating to more than one participant (e.g. a family member or friend booking an additional place/es); 

  • provided to us from our clients or third-party customers, who may be the Primary Booker for an event we are running on their behalf (e.g. a charity’s challenge event that Large Outdoors is providing guides for).

We use the information given to us in order to:

  • manage your enquiries and/or requests;

  • provide and maintain our services, including to monitor the usage of our services, send you surveys and/or for market research purposes;

  • manage your registration as a user of our booking processes/systems (including use of our website) and/or to manage your online account;

  • deliver a contract - the development, compliance and undertaking of the contract for the services you have agreed with us;

  • contact you - by letter, email, telephone call, SMS, social media message, or other equivalent forms of written or electronic communication (including applications used by us to provide push notifications regarding updates or informative communications related to our services - including relevant security updates, when necessary or reasonable for their implementation);

  • provide you with news, special offers and general information about other services which we offer, unless you have opted not to receive such information.

We may share this information with:

  • our service providers - to deliver our service (including payment processing) and/or to monitor and analyse the use of our service and associated marketing platforms (e.g. Google Analytics and Facebook);

  • emergency services and rescue services - to obtain medical or evacuation assistance for you in the case of an emergency;

  • another company - in connection with, or during negotiations of, any merger, sale of assets, financing, or acquisition of all or a portion of Large Outdoors Ltd.;

  • business partners - to offer you certain products, services or promotions, unless you have opted not to receive such information;

  • law enforcement or government officials and courts - if required to do so by law or in response to valid requests;

  • other officials or partners - in the good faith belief that such action is necessary to protect and defend the rights of the property of Large Outdoors, prevent or investigate possible wrongdoing in connection with our services, protect the personal safety of users of the service or the public, or protect against legal liability.

  • other service users or unknown individuals - when you share personal information or otherwise interact in the public areas or private group areas of a third-party social media platform or third-party website that we manage. Such information (including your name, profile, pictures, video and description/content of your activity) may be viewed by other users and may be copied and/or publicly distributed elsewhere, and other users may be able to contact you.

How we update, screen and analyse your information

We may review the information we hold about you to ensure your personal data is as accurate as possible. We may consult alternative sources in order undertake these checks, such as:

  • Royal Mail National Change of Address database (NCOA);

  • BT Operator Services Information System (OSIS);

  • Companies House and other company information databases;

  • any other publicly available sources (including social media platforms and websites).

We may segment the information we hold about you based on a proprietary score. These scores are calculated using personal data, as well as how engaged with us you have previously been, and indicators of future engagement. Analysis of this helps us understand our customers/clients and potential customers/clients to ensure we are efficient and that only relevant communications are sent to you.

You can opt-out of your data being utilised for data cleaning or analysis (with the aims of targeting communications with you appropriately, or finding up to date contact information in the case of gone away mail) by contacting us (see contact details section above).

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

How we store your personal information 

The security of your personal information and data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage, is 100% secure. While we carefully consider the digital options available and strive to use commercially acceptable means for storage and transfer of your personal information, we cannot guarantee its absolute security.

Data stored in a printed/written version is kept in a locked location with access limited to relevant Large Outdoors staff. Once storage is no longer required, we dispose of these documents by shredding.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information. 

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
